Job Description:

Reporting to the Dental Director, the Director of Evaluation and Projects (DEP) has the overall responsibility for day-to-day operations and fiscal management of the dental department.  The DEP is responsible for monitoring/reporting of dental grants and special projects and supervises the Dental Data Manager and the Dental Patient Navigator, who in turn supervises the front desk team.  

 

The DEP collects, analyzes and reports pertinent data in regard to NAHC dental grants and programs including but not limited to:  Native American; HIV+; pediatric; elderly and/or other populations. The DEP will maintain and consistently monitor fiscal data and budgeting related to any county or state programs/grants/contracts and clinic operations.

 

The DEP will also ensure that Medi-Cal standards of care are maintained in the authorization of dental procedures/billing. The DEP assists the Assistant Dental Director in responding to patients’ concerns or discrepancies in billing/treatment plans. The DEP is a liaison to the Billing Department for coordinating information and communications.

 

The DEP implements policies and procedures of the dental department. The DEP supervises the administrative, evaluation, case management, and front desk staff to support the department in providing quality clinical services to clients/patients.

 

The DEP coordinates dental training with Information Technology (IT) department for staff systems building and IT maintenance needs. The DEP will represent the dental clinic in organizational Continuous Quality Improvement (CQI) and other meetings and initiatives.

 

REPORTING RELATIONSHIP: The Director of Evaluation and Projects, Dental Department, reports directly to the Dental Director.

 

SPECIFIC DUTIES AND RESPONSIBILITIES:

  1. Monitors and maintains all dental contracts and grants insuring timely reports of data and deliverables.
  2. Assists in preparation of grant/contract renewals, programmatic and employee evaluations, compliance reports, and budgets.
  3. Prepares productivity reports and NAHC Board of Director reports monthly.
  4. Coordinates with Administration in reconciling program budgets, and invoicing necessary contracts and subcontracts.
  5. Insures that all administrative and study activities of the department are conducted in a strategic, efficient and cost-effective manner.
  6. Assists in dental clinic audits and program Reviews from funding sources as required.
  7. Monitor and prepare monthly dental incentive program.
  8. Conduct monthly dental staff meetings. Participate in NAHC committees pertaining to dental, patient care, and operations.
  9. Assists Dental Director in seeking funding, attending meetings, and supporting dental programs.
  10. Liaise with other departments; assists in training dental staff and other departments with HealthPro issues.
  11. Writes custom reports in patient management database software.
  12. Writes correspondences as necessary.
  13. Maintains an accurate filing system.
  14. Works with Dental Director in updating Dental Policy and Procedures on an annual basis.
  15. Assures dental payments collections and cash receipts transmittals are correct and deposited in a timely manner.
  16. Maintains positive public relations with patients, clients, guests, and staff.
  17. Resolves patient and staff conflicts.
  18. Coordinates job postings, initial review of applicants, and applicant interviews.
  19. Must be willing to work with fellow employees and supervisors.
  20. Other duties as assigned.

QUALIFICATIONS:

  1. Prefer B.A. or B.S. degree in business administration or related field, or 7+ years experience in For-Profit or Not-for-Profit management with significant administrative and budget responsibilities.
  2. Must be willing to supervise in a union environment.
  3. Prefer knowledge of dental procedures, terminology, and dental appointment scheduling.
  4. Prefer knowledge of dental billing and dental insurance companies.
  5. Prefer knowledge of Healthy Families, Medi-Cal, and other state and local funding grants and contracts; Healthpro or database management and Dentrix.
  6. Significant experience with Microsoft Word, Excel, PowerPoint, Publisher and applications.
  7. Ability to participate in and carry out planning and coordination of complex projects with task, timelines, exhibiting analytical and decision-making skills.
  8. Ability to meet deadlines and balancing priorities with professional diplomacy and confidentiality.
  9. Ability to supervise and delegate duties as required.
  10. Spanish language skills desired but not necessary.

Knowledge of the Native American community in the Bay Area is strongly desired.
